When designing forms for data capture, regardless of whether it will be paper based for postal response, or electronic via the internet, it is important to consider a few simple but effective options.  Working with you to leverage our expertise in Form Design and capture, Xynics can help you to deploy forms which;

  • are easy to read and “flow” encouraging responders to complete the form
  • engage your respondents in a manner which encourages accurate and insightful responses
  • meet legal requirements for both the capture and future use of captured data
  • help to minimise the effect of partially completed forms or postal response forms damaged in transit

RECEIVE, CAPTURE AND MANAGE

Xynics have many years’ experience in handling high volumes of inbound mail, sorting, collating and capturing the data, reconciling accounts and volumes and archive storage.

Working in conjunction with our Form Design and Data Capture services, we can offer a "one-stop-shop" managed solution or any portion of the whole process as required by each individual client.

 

 

Postal Account (Freepost, PO Box and International Business Reply)
We can set up and manage on your behalf an account with Royal Mail and receive your mail directly at our offices where it follows a defined audited process.


Open and Sort

After receiving mail it is opened, sorted and counted.  We log this information in a central database where it can later be reconciled against postal accounts (down to individual mail types) to ensure you are not over-billed and can budget for postage which is unbilled.


Digitisation

Many of our clients now elect for their mail to be captured digitally and stored securely either in our own secure data centre, or transferred to them for storage internally.  This can offer a significant saving on physical storage costs which is often a legal requirement, as well as making the entire data capture process more secure and efficient.


Data Capture

Xynics employ all our data entry staff directly and where possible we choose to employ "local knowledge" to maximise the understanding of capture data such as geography or product knowledge. 

Where items are not captured digitally they are assigned to a data entry clerk in "batches" which are tracked through the entire process from receipt to storage.  
If items are digitised for capture, we can not only utilise OCR technologies to capture as much data as possible but we can also independently track every item through the entire process from receipt to storage.


Reporting & Analysis

Due to the auditing and logging of all our Data Capture processing, we can provide detailed reporting on the processing of mail items.  This enables us to engage the most efficient operators for each job, control quality and provide real time statistics.
